Bronze Basic Set Up and Go Details
The food supplied is as listed on the menu.The salads or hot
veggies are in trays which the staff member will set out onto the tables provided by you. The
pre-carved roast meat, hot potatoes and gravy are in another box and will stay hot for at least 2
hours. The staff member also attends the meats, provides the trays, decorates the table etc. and
stays for up to half an hour of serving time from the time you nominate on booking.
What do you, the Customer, need to supply?
In this menu we set up your buffet, serve for up to half an hour
and then leave you to it. We provide serving utensils but you need to provide your
own plates and cutlery or we can as an added option, see booking form.
Feel free to add your own margarine, salt and pepper. etc. There are no decorations on this
menu. Please provide a minimum of one table per 40 guests. We need clear and easy access and to
park close due to the amount of boxes.
Hints and Tips
This is a great menu for casual occasions, is affordable and flexible in its serving time. Allow
yourself enough room for your buffet on the day, a poorly organized function can sour a happy
occasion.. Have your table 1 meter away from the wall so we/you can stand behind it to top up your
salads or veggies and meat. It is also easier to be set up away from the guests and close to a
door, garages and front verandas are ideal.
Many people add to this menu to cater for Vegetarians, Celiacs, Vegans etc. You can also add
more condiments if there is something special your family likes.
Travel Fees As we serve functions all over Melbourne we have a travel fee
which goes towards the cost of getting our staff on site for their wages, fuel and car use.

What do I do now?
If you would like to book please click on the tab below for your booking form. We process
bookings on Mondays and Thursdays then send you a confirmation email along with your invoice. We
require a 30% deposit on booking. When booking your function only an estimate of your guests is
required. No later than 5 working days prior, usually Monday, you must ring if you want
to change your head count. If we have not heard from you we will assume that your
estimate number is your final figure. Please DO NOT RING after this time as
we will have done all our calculations, staff roster, & orders. Fresh stock can not be sent
back. Any changes after this time incur a $25 charge, in some cases we may
be able to add heads to your function, not reduce.
Tentative
Booking.
If you would like to tentatively book a date for your function
please click below. It is noncommittal for you and
us to procede. It simply allows us to check that we are available
on that date and and we will hold it for you. If we dont receive a
booking form within 2 weeks we simply cancel your tentative. If we
are becoming booked out we notify you that you need to book now or

Definate Booking.
By clicking the "booking form" below you are committing
yourself to a function with Hot Rods Roasts. If you are not 100%
sure please do not procede. From this point we contact our staff to commit their
time to your function, organise your invoice, order stock and ask for 30% deposit

Terms, Conditions and FAQs
PAYMENT
As our staff do not return to the Bayswater Kitchen from your function customers need to pay
once they have confirmed their final numbers. You can do this by direct bank transfer, credit card
over the phone or drop in with cheque or cash. Keep in mind that although it can be extremely hard
to estimate numbers especially at 21st and clubs, most of the time it gets cheaper if you order
more and that the left overs are yours to keep.
PRICING and QUOTES are subject to change in the event of unforeseen
circumstances effecting business eg flooding, fires etc. If your quote has changed you have the
option to withdraw reclaiming monies paid minus $100 handling fee. Babies 0-4yrs 1/4 serve for 1/4 adult price, kids 5-9yrs 1/2 serve for 1/2 adult price.
SERVING TIME. It is always best to set your serving time later than usual as people
are always late and not everything goes to plan! We arrive about 20 mins prior to serving according
to the size of your function.
HOW MUCH FOOD IS THERE? All "sit down" meal quantities are calculated according to
the booked head count and we use the same calculations successfully week after week. In the event
you feel your guests are above the normal large serve which we allow, eg Sumo Wrestlers or a footy
club who expect to eat meat all night, please discuss it with us.
MISCELLANEOUS
Hot Rod’s Roasts reserves the right to refuse a booking or to serve, eg rude or drunk guests.
Hot Rod’s Roasts is fully insured for public liability, takes much care but no responsibility.
DEPOSIT
Deposits are non refundable on cancellation. You have 7 days from receiving your invoice to
confirm your booking by paying your deposit. If we have not received a deposit in 7 days your
function is automatically suspended to make way for another booking.
ALLERGIES
Hot Rod's Roasts food may contain products that could cause an allergic reaction and take no
responsibility in this case. Some of our food contains wheat, eggs, nuts and milk. We have a list
of many of our ingredients available but in not conclusive as suppliers change their ingredients
regularly.
PEAK PERIODS
We have a minimum of 60 heads for a served function for many dates in our peak times, we will
notify you of this on booking. If your head count drops the minimum we can charge is for 60 in this
case.
QUESTIONS?
Please feel free to contact us over any queries you may have. It is often better to write down
your queries over a couple of days and ask them in one go instead of repeatedly ringing . If you
are a school or club, nominate one person to be in charge of communications with us as we often get
several people ringing from one place.
